Our privacy commitment

Humanitarian Advisory Group (HAG; ABN 17164772936; ‘we’, ‘us’ and ‘our’) is committed to handling personal information that we collect in accordance with our Privacy Policy and the Australian Privacy Principles (APPs). This policy outlines our ongoing obligations in respect of how we manage Personal Information and covers website usage and operational activities.

We have adapted our Privacy Policy from the APPs contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information. We may revise our Privacy Policy from time to time by updating this page. The revised Privacy Policy will take effect as of the time and date it is posted on our website.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. We may collect Personal Information from people who are related to our operations and activities including:

  • Employees;
  • Donors;
  • Participants in our research studies;
  • Recipients of support services;
  • Suppliers;
  • Interns; and
  • Service providers.

This Personal Information is obtained in many ways. Examples of Personal Information we may collect include:

  • Name and organisational affiliation; and,
  • Contact information, such as email address and phone number;

The ways we collect Personal Information may be via:

  • Event registrations;
  • Interviews, such as when conducting research;
  • Marketing, such as when communicating about our research and events;

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information. We will endeavour to minimise the collection of such information where possible.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent; or where required or authorised by law.

Website Usage Information, Cookies, and Third Parties

We will ensure your information is protected when visiting our websites, subscribing to our newsletter or signing up to our events. HAG’s website links to other websites of interest are operated by third parties. We don’t guarantee website links or policy of authorised third parties.

We collect your Personal Information when you subscribe to, receive our newsletter, post a comment to the HAG blog, or sign up to attend any HAG events. HAG will use your personal information to:

  • Periodically send you our newsletter, The Haggler, event invitations, publications announces and/or other information that might interest you.
  • Invite you to participate or contribute to specific research projects being undertaken by HAG researchers (participation is always voluntary).
  • Confirm and update our records about you.

We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where it would reasonably expect such use or disclosure. You may unsubscribe from our mailing lists at any time by either clicking ‘unsubscribe’ at the bottom of our newsletters or contacting us in writing.

We monitor how many people subscribe and open our emails, but your data is not profiled to you personally.

When we collect your Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

Data Protection

Data protection is defined by the Privacy Act and the European Union General Data Protection Regulation (the GDPR) as ‘personal data’, which includes: names, email address, phone numbers and online telecommunications user names, addresses and organisational affiliation. We are committed to ensuring that your information and data is secure. To prevent unauthorised access or disclosure of your information and data, we have appropriate physical, electronic and managerial procedures to safeguard and secure the information and data we collect online.

Cookies

Our website uses cookies to access particular services and track site usage throughout your time on HAG’s website. These cookies may automatically collect information and statistics from you, such as how long you spent on a page or what files you download. We use Google Analytics to collect this information. We only use this information for statistical analysis purposes. This helps us analyse data about webpage traffic and improve our website to tailor it to client’s needs. We use Humanitix to manage our event registration and communication, account creation, personalised invitations, event ticketing and post-event information. Third Parties

Where reasonable and practicable to do so, we will collect Personal Information only from you. However, in some circumstances, we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

  • Third parties where you consent to the use or disclosure; and
  • Where required or authorised by law.

Security of Your Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. HAG will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. We will periodically (every 2 years) send you an email confirming your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
